Strong communication is essential for teamwork, fostering collaboration, and ensuring alignment. I’m currently writing annual reviews and realizing that clear, concise communication is a skill that needs constant practice. Here are some items I expect from teams.

Define Clear Objectives

Set clear goals for communication—The ‘Kim Request’ at the beginning of most meetings, including top level managers, is a simple question: “What is the goal of this meeting?” Make it clear to all attending what is expected by the end. For fun here are some of the things I find I’m reiterating in my team’s annual reviews.

Structure What You’re Sharing

  1. Introduction: Clearly state the purpose.
  2. Context: Provide relevant background information.
  3. Key Information: Present updates, challenges, or insights.
  4. Actions: Define next steps and responsibilities.
  5. Conclusion: Summarize key takeaways and reinforce alignment.

Use Storytelling to Connect

Stories make information memorable and engaging. Structure messages as narratives by:

Presenting a challenge or goal.

Highlighting key moments or insights.

Concluding with a solution or actionable steps.

Keep Messages Concise and Engaging

Avoid overloading information. Use visuals, bullet points, and straightforward language to maintain attention and clarity.

Leverage Data and Visuals

Support key points with charts, graphs, CAD images, or even hand sketches to simplify complex information and enhance understanding.

Encourage Open Collaboration

Promote teamwork by facilitating discussions, gathering feedback, and using collaborative tools like on-screen whiteboards if remote or whiteboard sketching if meeting onsite.

Really?

Effective communication fuels teamwork by keeping everyone aligned, engaged, and productive. Doing these simple things, teams can work together more efficiently and cleanly meet expectations – no confusion or chaos. Save money, save time.
